EMGS OPERATING PROCEDURES FOR MOVEMENT CONTROL ORDER 3.0

1.     PURPOSE:

1.1  The purpose of this bulletin is to inform institutions regarding the decision taken by Education Malaysia Global Services (EMGS) to minimise personal contact / interaction by limiting the number of visitors to EMGS One-Stop Centre at Menara TA One.

1.2   Institutions are requested to use the available online facilities for application / document submission and payment.

1.3  As a consequence of the increase in number of confirmed Covid-19 cases within the Klang Valley, EMGS has outlined a few measures that will take place during this phase of Movement Control Order 3.0 subject to further announcement by the Government of Malaysia.

2.      IMPLEMENTATION:

2.1  Effective from 16th August 2021, the following measures will be enforced and it will be mandatory for institutions to adhere to these steps. These measures are essential for protecting our employees and visitors from exposure to SARS-CoV-2 virus.

2.2  Below are the measures that will take effect with regard to the document submission process at EMGS One-Stop Centre:

No. Challenges Measures
1 Payment There will be no cash transactions.

Institutions already have the option to either submit payment via cheque or bank transfer. For bank transfer, kindly provide us with the receipt as proof of payment confirmation.
2 Application Submission There will be no application submission via hardcopy.

Institutions are encouraged to upload the documents for IM14 and IM55 via EMGS STAR System.
3 Additional Documents All additional documents must be submitted via email to EMGS, except for the following:-

a) Personal Bond
b) Documents that require original CTC (e.g., academic and attendance results, bank statement, document from the embassies)

For item (a) & (b), institutions can submit these documents via email to EMGS along with the Surat Akur Janji (attached together with this bulletin) and available for download in STARS under the ‘Downloadable Forms’ section.

Alternatively, institutions can also submit these documents at the mail drop counter.
4 Enquiries There will be no enquiries channelled through the EMGS front desk counter.

All enquiries must be submitted via email to enquiry@emgs.com.my.
5 Collection of Medical Cards & iKad There will be no physical collection of medical cards & iKad via the EMGS front desk counters and mail drop counter.

All medical cards and iKads will be couriered to the respective institutions.
6 Submission of Passports EMGS will continue to accept passports at the EMGS front desk counters.

Institutions are encouraged to submit all passports at once to minimise multiple trips to the EMGS One-Stop Centre.
7 Collection of Passports Institutions are required to collect all passports that are ready for collection when they visit the EMGS One-Stop Centre. This will eliminate multiple trips made by institution representatives to collect passports.

2.3  It is important that we adhere to the above measures as it is a priority to ensure all workplaces are safe from COVID-19 transmission, as required by the Ministry of Health. We believe these measures and the co-operation from institutions will be vital towards reducing the risk of COVID-19 transmission.
